  • How do I run a group call with several people at the same time?

Create an agenda of type Group call. You set the fixed session times (for example, every Monday, Wednesday and Friday at 21:00) and how many seats each one has. Everyone who books the same time joins the same meeting, until seats run out.

Each person still has their own booking: they show up as a contact in the CRM, get their own confirmation and reminders, and can cancel or switch sessions on their own.

    Before you start

    • You need permission to create or edit agendas.
    • The agenda needs Enable booking link turned on, in the General tab, to take registrations.

    1. Choose "Group call"

    1. Open Commercial → Scheduling → Agendas and create an agenda (or edit an existing one).
    2. In the Availability tab, under Who attends, select Group call.
    3. In Who hosts the sessions, pick the person who will present. A group call has a single host — it is not distributed across a team.

    2. Set the seats and the times

    1. In Seats per session, enter how many people fit in each session (1 to 100).
    2. Keep Show remaining seats on the booking page on if you want each time to show "12 seats left". Off, the number is hidden, but a full session still drops out of the list.
    3. Click Add time and choose the Weekday and Time of each session. Repeat for every day the session happens.

Times are in Brasília time, and the session length is the agenda's Duration (min), in the General tab. Each session must end on the same day it starts.

    3. Choose where the meeting happens

In the General tab, under Meeting location, any option works: a session always has a single room, shared by everyone registered.

    • Clickmax Meet: one room is created for each session, and everyone registered joins it.
    • Automatic Google Meet: a single event is created in the host's Google calendar (Google Calendar must be connected), and its link works for everyone. Registrants are not added as guests of that event — each person gets their own confirmation, without seeing the others' emails.
    • Attendant's fixed room or Fixed link for this agenda: everyone gets the same link.

Save the agenda and copy the link with the Copy link button on the agenda card. That is the link for your broadcast, email or page.

On the booking page, people only see days that have a session with seats left, and pick the time. Full or cancelled sessions do not show up.

What changes compared to a regular agenda

    • The host's time is blocked. At session times the host does not show as free on their other agendas — even before anyone registers.
    • Booking again does not take another seat. If the same person books the same session twice (for example, clicking the broadcast link again), they keep the seat they already had.
    • A session only takes registrations through the booking page. You cannot book someone into a group agenda from the CRM's manual booking, an automation or the AI.
    • Time and link belong to the session. Changing one person's time or link on its own is refused; to change it, move the whole session. See How do I manage the sessions of a group call?.
    • The outcome is per person. When leaving the Clickmax Meet room, the result is not recorded for everyone at once: mark who attended on each booking in the CRM.

    What a registrant can do

From the management link in the confirmation, the person can:

    • Cancel: their seat becomes available for someone else.
    • Reschedule: pick another session of the same agenda that still has seats. Their seat leaves the old session and they get the reschedule notice with the new session's link.

    If it did not work

    • The Save button is disabled: in the Availability tab, check that there is at least one time, that seats are between 1 and 100, and that no session goes past midnight.
    • The booking page shows no times: Enable booking link must be on, and sessions must be within the agenda's horizon and minimum notice.
    • The person saw "This session just filled up": the last seat was taken while they were filling in their details. They can pick another time.
