How do I send the meeting reminder the day before, at 10 a.m.?
In the agenda's Notifications tab, create a notification with 1 days before the meeting and fill in At a fixed time with 10:00. The reminder goes out the day before the meeting, at 10:00 (Brasília time), whatever time the meeting is booked for. In the message, use the Meeting date and Meeting time variables so the contact knows when it is.
Before you start
- Workspace role: anyone who can edit agendas.
- An agenda that is already saved. On a new agenda, the tab shows Save the event type to set up its notifications.
Steps
- In Commercial → Scheduling → Agendas, open the agenda with Edit agenda.
- Go to the Notifications tab and click Add notification.
- In Who gets it, pick Lead.
- In When, enter 1, pick the days unit and before the meeting.
- In At a fixed time, enter 10:00. The field only shows with the days unit.
- In How, pick the channel and write the Message. To include the date and time, insert the Meeting date and Meeting time variables (see below).
- Click Save notification.
The notification row then shows the summary, for example 1 day before the meeting at 10:00.
How the fixed time works
- The day comes from When (1 day before the meeting = the day before) and the send happens at the time you entered, always in Brasília time.
- Leave At a fixed time empty for the reminder to go out exactly at the chosen interval from the meeting time (for example, 24 hours before).
- With the minutes or hours unit, the field doesn't show: the reminder goes out at the exact interval.
When the reminder doesn't go out
The reminder checks the meeting when it is about to go out:
- Meeting canceled, held or marked as no-show: a reminder before the meeting doesn't go out.
- Meeting rescheduled: the reminder follows the new time.
- Meeting booked at the last minute: a reminder before the meeting only goes out up to 15 minutes after its own time. For example, for a meeting booked 10 minutes ahead, the 1-hour-before reminder doesn't go out, so the contact doesn't get "starts in 1 hour" together with the notice that the meeting is about to start.
The same applies to the wait before the meeting in automations.
Meeting date and time in the message
The message editors in this tab offer two variables:
- Both use Brasília time.
- The value is read from the meeting at send time: if the meeting was rescheduled, the reminder goes out with the new date and time. If the meeting was cancelled, the variables come out empty.
- On WhatsApp, the message is an approved template. To use the time in a template parameter, type
{{meetingTime}}(or{{meetingDate}}) in the parameter field.
The same variables show up in the automation editor when the automation starts from meeting triggers — see Meeting date and time in automations.

If it didn't work
- The At a fixed time field doesn't show: the unit in When isn't set to days.
- The reminder went out at an unexpected time: the fixed time is always Brasília time, not your computer's or the contact's.
- The date or time came out empty: the meeting was cancelled before the send.
- The reminder didn't go out: the meeting was canceled, held or marked as no-show, or was booked so close that the reminder's time had already passed by more than 15 minutes. See When the reminder doesn't go out.
- I can't add another notification: each agenda takes up to 5 notifications.
