  • How do I create an automation without leaving the funnel?

When you add a Messaging Flow step to the funnel, the How do you want to start? window opens right away, with four options, one per row: From scratch, Connect an existing one, From a template and With AI. The last two are marked Coming soon and do not open anything yet. If you reached the step by dragging a trigger from a page, the new automation is born with that trigger configured — in the automations editor you only build the messages.

Role: anyone with access to the funnel in the workspace can edit it.

Before you start: the funnel must be open in the builder. For the automation to be born with its trigger ready, the source page needs a trigger that starts automations — for example Contact Captured or Purchase Approved. See which ones qualify in automation triggers.

    Steps

    1. Open the funnel in the builder.
    2. Add the step in one of these ways:
      • Right-click an empty spot on the canvas (or use the toolbar +) and choose Messaging Flow.
      • Drag a page trigger onto an empty spot on the canvas and choose Messaging Flow. The window shows Fires on: with the trigger name.
    3. In How do you want to start?:
      • From scratch: adjust the suggested name and click Create and open in editor.
      • Connect an existing one: pick the automation from the list — each card shows a thumbnail with its trigger and the channels it uses. The funnel stays open and the trigger is connected to it. See below how to filter the list.
    4. The automations editor opens with the automation already linked to the funnel. Build the steps of the sequence.
    5. To go back, use the editor's leave button: it returns to this funnel, with the flow step already connected to the automation.

If you close the window without choosing, the step disappears from the canvas — backing out here undoes the whole step, leaving no empty card to clean up later. To start over, add the step again.

When you open the window from the Link automation button on a step already on the canvas, closing it deletes nothing: the step stays put, still without an automation.

How to find the automation in the list

The Pick an automation window has four controls, and it remembers the last two for next time:

    • The title is a selector. It opens on Automations in this project, the funnel's project. Click it to switch to All automations and see the ones from every project in the workspace.
    • Search, by automation name.
    • Grid or List: the grid shows the large thumbnail; the list puts one row per automation, with a small thumbnail on the left.
    • Show all: off, the list only brings free automations. When automations in use are hidden, the note N in use hidden appears with a shortcut to turn the switch on.

An automation in use — linked to another step of this funnel or to another funnel — shows dimmed, with the reason (Already linked to another node or Linked to another funnel) and cannot be picked. To reuse it, click Duplicate on the card itself: the window shows the original and the copy's name, and Duplicate and link connects the copy to this step. The copy starts with no triggers and receives this step's.

What is different about an automation created from the funnel

    • Its triggers are managed by the funnel. At the top of the automations editor sits the banner This automation is managed by funnel “funnel name” with the Back to funnel button.
    • The trigger card shows up gray and outlined — a reference card that takes no clicks. Hovering it also reveals Back to funnel. To add or change triggers, use the flow step card on the funnel canvas.
    • With the automation active, the General, Successes and Failures numbers appear in a separate solid block right under the outlined card. Only the card is a reference: the numbers are the automation's real executions.
    • If an automation that does not autosave has unsaved changes, going back asks first: Save and go back or Keep editing. Draft automations autosave and go straight back.
    • It starts as a draft. Publishing the funnel activates it; see activate an automation.
    • An automation already in use on another step or funnel cannot be linked again: in the list it shows dimmed with a Duplicate button, and the copy starts with no triggers.

The name on the card is the automation's

The flow step has no name of its own. What shows at the top of the card is the linked automation's name. Click it to rename: the change applies everywhere, including the Automations list and inside the editor.

While the step has no automation, the card shows only Messaging Flow and that text cannot be edited. Link an automation first.

    What the step card shows

The card has two areas, one per question.

In the gray area, right under the name, sit the triggers: When, plus the triggers that start the automation, on a single line. With three or more, it shows the count, and hovering reveals the full list. Click the line to open the triggers one by one: that is where you remove, reconfigure and Add trigger. The list opens in place and pushes the white card down. Each trigger that comes from a funnel card says, on its second line, which page it comes from, followed by its configuration (for example, Sales Page · 50% of the page). Pages with the same name get their address or a number (#2, #3). Hover the line and the source page lights up on the canvas, along with that trigger's connection, which tells apart two identical triggers on the same page. A pending trigger shows only Click to configure.

The white card holds the sequence: collapsed, a strip of icons, one per step, in the order the automation runs them. Past eight steps, the rest becomes +N. Show actions (N) opens one step per row, with the detail underneath: the email subject, the start of the message on other channels, the wait duration. Media and template messages show the format instead, since there is no text to preview.

A trigger that still needs setup is never hidden: even with the list collapsed, its row shows in yellow with Click to configure.

At the foot of the card sits the Goal, with a target always in view: what counts as a conversion for this automation. See the section below.

In the Analytics view the card keeps the When line with the triggers and the sequence (the icon strip and Show actions (N)), read-only: Add trigger, the remove button and Edit actions in Flows go away, and the Goal is no longer clickable — switch back to Edit to change it. Without a goal, the foot of the card shows Executions, how many times the automation ran, and under the card sit Unique contact, Emails collected and Phones collected. With a goal set, the card shows the goal result, described below.

    The automation goal

The card's Goal is the same goal shown in the automations editor: one concept, with the same criteria on both sides. For an automation created from the funnel, it can be edited here or in the automations editor: when you reopen the other editor, it fetches and shows the latest configuration, and if two people save at the same time the second one must reload before saving. The automation's entry triggers, though, are still chosen only here, in the funnel. Everything about how it works is in how to set an automation goal.

The foot of the card only summarizes the goal. The goal has no name: its title is built automatically from the criteria's events, up to two, plus a count of the rest — for example, Purchase approved, Boleto generated and 3 more. Below it, how the criteria combine and the settings — for example, All criteria · Removes from the flow · counts up to 7 days after finishing or Any criterion · …. With a single criterion, that part doesn't show. The same title appears at the top of the panel. To create or change the goal, click the foot of the card: it opens the Goal panel on the Configuration tab, with the same editor as the automations editor.

    1. Click the foot of the card (Set goal, if there is no goal yet).
    2. On the Configuration tab, click Add criterion and pick the event that counts as a conversion.
    3. To narrow the criterion, click the filter right below it (for example Offer) and pick the value. The filter becomes a section with the condition and one chip per value — for example, Offer is one of with one or more offers, each with its picture.
    4. With more than one criterion, choose in the sentence The goal is reached when all of these criteria happen whether all or any of them apply. The trash icon next to a criterion removes only that one.
    5. Choose When the goal is reached (Remove from flow or Keep in flow), the Conversion window (Only during the automation, or up to 1, 3, 7 or 30 days after finishing) and the Result shown (Current measurement or Since the start).
    6. Click Save goal.

Conditions, limits and what happens to older goals built with paths are in how to set an automation goal.

Nothing is saved until Save goal, at the bottom of the Configuration tab. Saving a change starts a new measurement; the panel warns you first. Closing the panel with unsaved changes asks you to confirm discarding them. To take the goal off, use Remove goal at the bottom of the panel — if other automations start when it is reached, their list appears before you confirm.

If someone else saves the goal while you edit, the panel shows Someone else changed the goal. Review the changes before saving. and only saves again after Reload goal.

A purchase criterion with no offer or product filter is met by any purchase in the account: with Remove from flow, any purchase takes the person out of the automation.

In the Analytics view, the foot of the card shows Conversions in bold and, below it, the rate and the number of entries — for example, 41.4% of 222 entries. Right below:

    • a bar splits the entries into three parts: the ones that converted, the ones that can still convert (in progress or inside the conversion window) and the ones that ended without converting. The legend reads, for example, 92 converted · 15 can still convert;
    • a short line shows up only when it changes how to read the numbers: Since the start, when Result shown is set to Since the start (then the numbers cover every measurement, each entry once, and ignore the selected period); Started N days ago, when the current measurement started in the middle of the period and what came before does not count (in a period that has already ended, Started on MM/DD); or No measurement in the period, when it started after the period ended, and the card has no numbers. Hover the line to see the start date;
    • View measurements opens the goal panel straight on the Measurements tab.

Under the card sit Entries, In progress and Ended, for the same entries. The bar is about conversion and these three numbers are about where the entry is: with Keep in flow, an entry that already converted stays In progress, so the numbers do not have to add up. The panel's Measurements tab shows the Since the start total, the current measurement and, below it, the past ones, with the same layout as the card. Switching tabs does not discard what you are editing. See how the goal conversion rate is counted.

When the trigger has no offer

If the source page uses a purchase trigger with no offer set, the warning No offer — fires on any purchase in the account appears. The automation is still created, but it fires for any purchase in your workspace. To narrow it down, set the product/offer on the page and reopen the flow step's triggers.

    If it didn't work

    • "Fluxo de Mensagens" shows dimmed, with "Not available for this trigger": hover the ? beside it for the reason and what to do. Usually the trigger only moves the lead to the next step (Scroll, Click, Page view) or is still undefined. Drag a sales or contact trigger, or add the step from the right-click menu and link the automation from its card.
    • I can't find the automation under "Connect an existing one": it may live in another project — click the Automations in this project title and switch to All automations — or already be in use: turn on Show all to see it dimmed, with the reason and the Duplicate button.
    • "From a template" and "With AI" don't open: they are marked Coming soon. Use From scratch or Connect an existing one.
    • The step vanished after I closed the window: that is expected when the step had just been added — closing without choosing undoes the addition. Add the step again.
    • The automations editor did not open after "Create and open in editor": the funnel could not be saved before leaving, or the trigger could not be written — the on-screen notice says which. Reload the builder and try again; the created automation is still available under Connect an existing one.
    • The trigger does not show up in the automations editor: the automation was created from the right-click menu, without a source trigger. Go back to the funnel and click Select trigger on the step card — see connect one automation to triggers on different funnel pages.
